Puffin Suite: Service Teams

Puffin is the iPhone app for Puffin Suite, a management system for professional cleaning companies. It is used by the people who coordinate the work and by the people who carry it out at client sites. What you see depends on your role in the company.

You need an existing Puffin Suite account set up by your company. Accounts cannot be created in the app. The app interface is in Italian.

FOR COORDINATORS (Owner, Administrator, Manager) • Dashboard: the day's figures and the items that need attention. • Schedule by day and by week, with filters and a map of jobs. • Jobs: create, assign, reschedule and update status; review checklists, photos and issue reports. • Planning: weekly board, rounds, recurring plans and checklist templates. When Puffin suggests an assignment or a new time, you decide whether to confirm it. • People: operators, teams, availability, shifts and absences. • Vehicles and equipment assigned to jobs. • Clients and sites, with contacts and history. • Sales: opportunities, site surveys and quotes as PDF. • Administration: invoices and pro forma documents as PDF, credit notes, due dates and payments received, product and service catalog. • Import clients and sites from CSV or XLSX files.

FOR FIELD STAFF (Operator) • Today's jobs, with instructions, address and equipment to bring. • Start and end of each job. • Checklists with notes and photos. • Before and after photos, from the camera or the photo library. • Job report and issue reports, including urgent ones. • On-site payment collection, if your company has enabled it. • Vehicle mileage, when required. • Absence requests. Operators never see costs or margins.

ROLES AND SIGN-IN • Four roles: Owner, Administrator, Manager, Operator. • Sign in with email and password, with Apple or with Google, always to an existing account. • Optional Face ID unlock. • If you belong to more than one company, you can switch between them.

GOOD TO KNOW • Available modules depend on your role and on your company's active plan. • Without a connection you can record job start, job end and a note; they are sent when the connection returns. Everything else needs a connection. • Location is read once at the start and once at the end of a job, if you allow it. There is no background location, and you can work without granting it. • This version does not send push notifications: alerts are shown in the in-app notification center. • The app does not transmit invoices to the Italian tax exchange system (SDI).

PRIVACY AND ACCOUNT You can delete your personal account in the app, from your profile. The privacy policy and support are available from the sign-in screen and from your profile.
